Aeon Wellness Club ("Aeon", "we", "us") operates this website and a private performance and longevity studio at 899 McFarland Parkway, Suite 400, Alpharetta, GA 30004. This Privacy Policy describes the information we collect through the website, why we collect it, and the choices you have. It applies to this website only, not to the in-studio services themselves.

Information we collect

Contact form. When you submit our contact form, we collect the name, email address, phone number, and any message content you choose to provide, and use it to respond to your inquiry and, where you ask us to, follow up about our services. We use Basin to process these submissions, screen them for spam, retain them in our form dashboard, and send notification emails to our team. The submission includes its page of origin. Please do not include medical or other sensitive information in this form.

Scheduling system. Booking an appointment is handled through a third-party scheduling system linked from this website. That system collects the name, contact details, and appointment preferences needed to book, confirm, and remind you of a session, and processes that information under its own privacy terms, presented to you at booking, in addition to this policy.

Technical data and embedded services. Website hosting and form-processing providers may process technical information such as IP addresses, browser details, requested pages and timestamps to deliver and secure their services. The contact page embeds Google Maps, and website fonts are loaded from Fontshare; loading these resources makes requests to those providers. This website build does not include a separate advertising pixel or analytics tracking script.

AI concierge and consultation requests

The preview website includes an AI concierge for general information about Aeon's services and planning a first visit. It is an automated assistant, not a human staff member, clinical service, emergency channel, or appointment-booking system. Please do not enter medical history, symptoms, lab results, medication details, payment information, or other sensitive information into the chat.

When you send a chat message, that message and a limited number of preceding messages are processed by the hosting platform and its AI service provider to generate an answer. The widget keeps conversation state in the current page's memory and the application does not maintain a transcript database. If you send a consultation request, your recent chat conversation is included in the email to Aeon, as described below. This does not mean that hosting or AI providers have no operational retention; their processing and retention terms apply separately.

Contact details are collected through a separate consultation-request form, not required to ask a general question. These details are not sent to the AI model. When you select Send consultation request, the system immediately emails your name, email address, optional phone number, selected service interest, preferred contact method, the page of origin, a timestamp, a request reference, and your recent chat conversation on that page to info@aeonwellnessclub.com through the connected email service. The conversation is included so the team can see the context of your request; it covers up to the last sixteen chat messages, is trimmed for length, and is labelled in the email as unverified browser-supplied text. Clearing the chat before you submit removes the conversation from the request. A submitted request is not a confirmed appointment.

The form asks you to confirm that you are 18 or older and agree to follow-up about the consultation request. This permission does not enroll you in marketing messages. Lead emails are retained in the relevant email accounts under their business-record and provider retention practices. To request access or deletion, contact info@aeonwellnessclub.com.

For abuse prevention and duplicate-send protection, the application maintains hashed visitor identifiers, usage counts, request fingerprints, delivery status, and request references. Usage events are retained for up to 24 hours and delivery metadata for up to seven days, subject to cleanup when the service runs. These application records do not contain the lead's contact details or chat conversation. The conversation exists in the email sent to Aeon and in the current page's memory until you clear it, reload or leave the page, or close the browser tab. Closing the chat panel only hides it; it does not clear the conversation.

Cookies

The website saves your light or dark theme preference in your browser's local storage when available. Embedded and linked third-party services, including Google Maps and the booking platform, may use cookies or similar technologies under their own policies. You can manage cookies and local storage in your browser settings; doing so will not prevent you from calling or emailing us directly.

How we use information

We use the information described above to respond to inquiries submitted through the contact form, support booking through the scheduling system, understand and improve how visitors use the website, and maintain the security of the site. We do not sell personal information collected through this website.

Categories of service providers

We rely on website hosting and infrastructure providers to serve the site, Basin to process contact forms, Mindbody for linked appointment scheduling, and email providers to deliver correspondence. Google Maps and Fontshare provide embedded maps and fonts. Where the optional preview concierge is available, hosting, AI and connected email providers also process information as described above. Their own terms and privacy practices apply to their services.

Health information and our clinical providers

Some services described on this website, including hormone and peptide protocols, diagnostics, and other clinical services, are delivered by separately licensed providers. Any health history, lab results, or clinical information you share directly with those providers, whether during a consultation, an intake form, or in the course of care, is handled by that provider under their own professional and legal obligations. It is separate from this website's data practices and is not covered by this Privacy Policy. The contact form and scheduling system described above are not intended for the submission of health information, and we ask that you not include sensitive health details in either.

Retention and deletion

We keep contact form submissions and related correspondence only as long as reasonably necessary to respond to your inquiry and maintain accurate business records. Copies held by our form-processing provider are deleted on the same basis, and a deletion request to us covers that copy as well. Scheduling data is retained according to the scheduling provider's own retention practices. You may ask us to delete personal information we hold that was collected through the contact form by emailing info@aeonwellnessclub.com; we will act on verified requests within a reasonable time, except where we must retain information to comply with a legal obligation, resolve a dispute, or enforce our agreements. To request deletion of information held by the scheduling system, contact us and we will help direct that request.

Children's privacy

This website is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18 through this website. If we learn that a child has submitted information through the contact form, we will delete it and use it only to respond to the child to explain that the website is not intended for their use.

California residents

If you are a California resident, you have rights under California law to know what personal information we have collected about you, to request deletion of that information, and to not be discriminated against for exercising these rights. Because this website collects only limited information through the contact form and scheduling system, and does not sell personal information, most of these rights can be exercised simply by emailing info@aeonwellnessclub.com with your request, and we will respond directly.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our website or practices. The "Last updated" date at the top of this page reflects the most recent revision.
